Under general supervision of Human Resources, the Receptionist is responsible for:

  • Greeting visitors in a professional, warm, welcoming manner
  • Scheduling and preparing meeting rooms
  • Answering phones and transferring to the appropriate destination
  • Taking and relaying messages in a timely manner
  • Screening calls
  • Validating parking
  • Maintaining tidy and clean reception area
  • Delivering and posting mail; daily runs to post office for outgoing and certified mail
  • Distribute mail before 9am
  • Receive and distribute deliveries
  • Preparing FedEx shipments
  • Submitting maintenance requests to the building
  • Scheduling regular monthly maintenance for facilities (carpet cleaning, etc)
  • Updating and distributing corporate directory
  • Order business cards and other business stationary
  • Double-check for accuracy (emails, proofing for printing, etc.)
  • Managing vendor relationships
  • Managing kitchen and office supply inventory; ordering supplies as needed
  • Stocking beverage refrigerator at the end of each day
  • Check meeting rooms at end of day (lights and A/V equipment turned off, chairs returned to table, no kitchen items left behind)
  • Empting dishwasher each morning
  • Managing office equipment (both regularly scheduled maintenance and service calls)
  • Schedule regular maintenance for facilities (carpet cleaning, A/C units, etc)
  • Managing periodical subscriptions
  • Distribution and tracking of sports tickets
  • Coordinating travel arrangements (airline/hotel/rental car/car service)
  • Event planning and catering coordination
  • Assist Human Resources with onboarding/offboarding, data entry, filing, correspondence, scheduling
  • Administrative duties as assigned
  • Special projects as assigned (company newsletter, plan Christmas luncheon, planning meetings, birthdays, retirement celebrations, wellness presentations, etc.)
  • Assist departments with projects/special requests
  • Maintaining confidentiality and exercising discretion
  • Other duties as assigned

  • Bachelor’s degree preferred but not required
  • Prior receptionist experience strongly preferred
